This Notice describes Vello’s own privacy practices. When we process personal information for a business client and at its direction, that client generally determines why and how the information is processed. If you have questions about this Notice, contact us at [email protected].

1. What Information Do We Collect?
The personal information we collect depends on your relationship with Vello, the features you use, the information you choose to provide, and the accounts or integrations you connect.
Information You Provide Directly

- request information, a demonstration, or a proposal;
- create or use an account;
- purchase or subscribe to the Services;
- complete onboarding or configure a campaign;
- connect an account or integration;
- upload, import, synchronize, or otherwise provide information;
- communicate with sales or support;
- participate in a survey, promotion, or marketing activity; or
- otherwise interact with us or the Services.
The information may include:
- Contact and professional information, such as name, email address, telephone number, mailing address, business name, job title, and role;
- Account information, such as username, account identifier, authentication information, authorized-user information, permissions, preferences, and security settings;
- Business and profile information, such as business locations, logos, brand information, review links, social profiles, campaign settings, and requested integrations;
- Commercial and transaction information, such as selected plan, subscription status, invoices, payment status, purchase history, and related records;
- Communications, such as emails, support requests, onboarding information, feedback, survey responses, and other communications with Vello;
- Client Content, such as message templates, review responses, instructions, uploaded files, and material a client asks us to process, transmit, display, or publish; and
- Other information you choose to provide that is reasonably related to the Services.
If you provide information about another person, you represent that you are authorized to provide it and to direct us to process it as described in this Notice and the applicable agreement.
End Customer Information Processed for Clients
Clients may upload, import, synchronize, or authorize us to access information about their customers, clients, patients, patrons, leads, or other contacts (collectively, “End Customers”) for review invitations and related Services.
Depending on what a client provides and the integrations or features it enables, End Customer information may include:
- name;
- email address;
- mobile or other telephone number;
- internal customer, transaction, job, appointment, or record identifier;
- limited service, appointment, purchase, payment-status, job-completion, or transaction information used to trigger or manage a review request;
- review-request history, delivery status, campaign status, and follow-up status;
- consent records, suppression status, and opt-out information;
- message content, replies, feedback, and support-related communications;
- public review text, star rating, reviewer display name, review date, response, and review-platform information; and
- other information the client lawfully directs us to process for an enabled feature.
Vello processes this information to provide the Services to the applicable client. We do not use a client’s customer list to market Vello’s own services directly to those End Customers.
Client Responsibility for End Customer Data
Clients are responsible for the information they provide or make available through the Services. Before submitting End Customer information or directing a communication, a client must:
- lawfully collect the information;
- provide all notices required by applicable law;
- obtain and document any consent, permission, or other lawful authority required for Vello and its providers to process the information and send the requested SMS, email, or other communication;
- honor opt-outs, withdrawals of consent, and do-not-contact requests;
- maintain accurate and current information; and
- avoid submitting information that is unnecessary, excessive, or prohibited by Vello’s Terms and Conditions.
During onboarding, account configuration, or data import, clients may be required to confirm that they possess the necessary rights and authority. Vello does not independently verify how each item of End Customer information was obtained and generally relies on the client’s instructions and representations, subject to Vello’s own legal obligations.
Connected Accounts and Integrations
A client may connect the Services to third-party accounts or systems, including Google Business Profile, review platforms, customer relationship management systems, scheduling or field-service platforms, accounting tools, social networks, email services, messaging services, and other supported systems (each, a “Connected Account”).
When a client enables an integration, we and our service providers may receive, access, store, synchronize, or transmit information made available through the client’s permissions. Depending on the integration, this may include:
- business and location information;
- account and profile identifiers;
- customer and transaction records selected by the client;
- public reviews, ratings, reviewer display names, and review responses;
- events or status changes used to trigger a workflow;
- authorization tokens, permission information, and integration metadata; and
- information needed to monitor, troubleshoot, secure, or disconnect the integration.
We use Connected Account information to provide the features requested by the client, such as synchronizing eligible customer records, monitoring reviews, providing alerts, displaying review information, drafting or posting authorized responses, and maintaining the connection.
Clients should connect accounts through the third party’s authorization process whenever available and should not send Vello unnecessary account passwords. A client may disconnect an integration through available account settings or by contacting us, although disconnection may limit or stop the affected feature. Residual information may remain temporarily in logs, records, or backups as described in Section 7.
To the extent Vello directly receives information from Google APIs, Vello’s use and transfer of that information will adhere to the Google API Services User Data Policy, including its Limited Use requirements, where applicable.
Information Collected Automatically
When you access the Site or platform, we and our service providers may automatically collect technical and usage information, such as:
- Internet Protocol address;
- browser type and settings;
- device type, operating system, and device identifiers;
- approximate location derived from an IP address;
- pages or features viewed and actions taken;
- referring and exit pages;
- access dates, times, and session information;
- error, diagnostic, performance, and security logs; and
- cookie identifiers and similar technical information.
We use this information to operate, secure, troubleshoot, analyze, and improve the Services; maintain sessions; prevent fraud and abuse; and understand general usage patterns.
Information From Third Parties and Public Sources
We may receive information from:
- a client or its authorized users;
- Connected Accounts and integration providers;
- payment, authentication, communication, hosting, analytics, security, and support providers;
- public review platforms, business directories, social networks, and other public sources;
- referral or marketing partners; and
- other sources when permitted by law or with appropriate authorization.
Public review information may include review text, ratings, reviewer display names, review dates, client responses, and related public metadata.
Payment Data
Payments are processed by Stripe or another payment processor identified at checkout. Vello does not store full payment-card numbers. The payment processor may collect cardholder name, billing address, payment-card details, bank or payment information, and fraud-prevention information. Vello may receive limited information such as payment status, card type, expiration date, and the last four digits of a payment card.
Stripe’s privacy policy is available at https://stripe.com/privacy.
Sensitive and Regulated Information
The Services are not designed for clients to upload Social Security numbers, complete payment-card data, government identification numbers, account passwords, biometric identifiers, protected health information, detailed financial-account credentials, information about children, or other sensitive or specially regulated information that is not necessary for review automation.
Clients must not submit such information unless Vello has expressly agreed in writing to support it and the parties have completed any legally required documentation. If you inadvertently provide unnecessary sensitive information, contact us promptly.
2. How Do We Process Your Information?
We may process personal information to:
- provide, operate, maintain, and administer the Services;
- create, authenticate, secure, and manage accounts and authorized users;
- configure review-request campaigns and related workflows;
- import, synchronize, organize, and process information at a client’s direction;
- send review invitations, reminders, administrative messages, and other authorized communications;
- monitor reviews and provide dashboards, reporting, and alerts;
- draft, assist with, or post review responses when authorized;
- create review widgets, social posts, excerpts, graphics, or other authorized review-related content;
- connect, maintain, troubleshoot, and secure integrations;
- process payments, subscriptions, renewals, cancellations, and refunds;
- provide onboarding, customer service, and technical support;
- communicate about accounts, security, billing, subscriptions, changes, and legal notices;
- send marketing communications when permitted and honor marketing preferences;
- understand use of the Site and Services;
- test, maintain, improve, and develop the Services;
- create aggregated or de-identified information that does not reasonably identify a person;
- detect, investigate, and prevent fraud, abuse, security incidents, unlawful activity, and violations of our agreements;
- establish, exercise, or defend legal claims;
- comply with law, legal process, and lawful governmental requests; and
- protect the rights, safety, property, and integrity of Vello, our clients, End Customers, service providers, and others.
We may use aggregated or de-identified information for analytics, benchmarking, service improvement, reporting, and other lawful business purposes. We will not attempt to re-identify information that has been de-identified when applicable law prohibits re-identification.
Case Studies and Marketing Use
Consistent with our Terms and Conditions, we may use certain business-related information to create customer lists, case studies, presentations, website content, social-media content, or other materials promoting the Services. This may include:
- a client’s business name;
- a client’s logo and brand elements;
- publicly available reviews;
- a testimonial or statement the client provides or approves; and
- general, high-level, aggregated, or de-identified performance results, such as an increase in review volume.
We will not publicly disclose a client’s confidential customer list, private message content, or non-public End Customer personal information for Vello’s marketing. We will not use an identifiable End Customer’s review or testimonial in Vello’s own advertising unless we reasonably believe the use is authorized or permitted by law and applicable platform terms.
A client may opt out of future use of its business name, logo, and results in Vello marketing by emailing [email protected]. We will use commercially reasonable efforts to honor the request prospectively, but previously produced materials may remain in circulation where immediate removal is not reasonably practicable.
3. Legal Bases for Processing
Where applicable law requires a legal basis, we may process personal information based on:
- Consent, including when you authorize an integration, opt in to marketing, or otherwise give permission;
- Contractual necessity, including when processing is needed to provide the Services, administer an account, process payment, or take requested steps before entering an agreement;
- Legal obligations, including recordkeeping, tax, regulatory, court-order, and other compliance requirements;
- Legitimate interests, including operating and improving the Services, communicating with business users, securing our systems, preventing fraud, enforcing agreements, and protecting legal rights, when those interests are not overridden by applicable rights; and
- Other lawful grounds available under applicable law.
For End Customer information processed at a client’s direction, the client is responsible for identifying and satisfying the legal basis, notice, and consent requirements applicable to its collection and use of that information. Vello processes such information under the client’s instructions, the applicable agreement, and Vello’s independent legal obligations.
4. When and With Whom Do We Share Information?
We may disclose personal information in the following circumstances.
Service Providers
We may disclose information to vendors and service providers that help us provide, secure, support, or administer the Services, including providers of:
- platform infrastructure, cloud hosting, storage, and databases;
- customer relationship management and account administration;
- identity, authentication, and security services;
- payment processing and billing;
- SMS, telephone, and email delivery;
- integrations, workflow automation, and data synchronization;
- analytics, performance monitoring, and error reporting;
- artificial intelligence features;
- customer support and communications;
- professional services, including legal, accounting, insurance, and compliance support; and
- other technology or operational services reasonably needed to conduct our business.
These providers may process information only for the services they provide to us or as otherwise permitted by their agreements and applicable law.
Clients, Authorized Users, and End Customers
We may disclose information within a client’s account to the client and its authorized users. We may transmit information and communications to End Customers at the client’s direction, including review invitations, follow-ups, links, opt-out confirmations, and responses.
When Vello processes an End Customer’s information for a client, we may disclose that information to the client that supplied it or directed the processing.
Connected Accounts and Third-Party Platforms
At a client’s direction, we may retrieve information from or transmit information to Connected Accounts and third-party platforms. For example, we may retrieve public review information from a supported platform, post an authorized review response, publish an authorized review-based post to a client’s social-media account, synchronize a customer record, or transmit a review-request event.
Third-party platforms operate independently and have their own terms and privacy practices. They may modify, filter, rank, restrict, retain, or remove content at their discretion. Vello does not control and cannot guarantee the visibility or permanence of information on a third-party platform.
Legal, Safety, and Rights-Protection Disclosures
We may disclose information when we reasonably believe disclosure is necessary to:
- comply with law, regulation, legal process, court order, or lawful governmental request;
- investigate or enforce our agreements and policies;
- detect, investigate, prevent, or respond to fraud, abuse, security incidents, unlawful activity, or technical problems;
- protect the rights, property, safety, and integrity of Vello, our clients, End Customers, service providers, or others; or
- establish, exercise, or defend legal claims.
Business Transfers
We may disclose or transfer information in connection with an actual or proposed merger, financing, reorganization, acquisition, sale of assets, bankruptcy, or similar business transaction. A recipient will be expected to handle personal information consistently with this Notice or provide notice of materially different practices when required by law.
With Your Direction or Consent
We may disclose information when you direct us to do so, authorize a feature or integration that requires disclosure, or otherwise consent.
Sale and Targeted Advertising
Vello does not sell personal information for money. We do not use End Customer information for cross-context behavioral advertising, and we do not disclose mobile opt-in information or SMS consent for third parties’ independent marketing or promotional purposes.
We do not currently share personal information for cross-context behavioral advertising. If our practices materially change, we will update this Notice and provide any notice and choices required by applicable law.
Processing Locations
Vello operates from the United States. Information may be processed in the United States and in other locations where our service providers operate, subject to applicable law and appropriate contractual or other safeguards where required.
5. Cookies and Tracking Technologies
We and our service providers may use cookies, pixels, local storage, logs, and similar technologies on the Site and platform. These technologies may be used to:
- keep you signed in and maintain sessions;
- remember settings and preferences;
- provide requested functionality;
- protect accounts and prevent fraud or abuse;
- understand how the Site and Services are used;
- diagnose errors and improve performance; and
- measure the effectiveness of communications or campaigns.
Some cookies are necessary for the Site or platform to function. Other cookies may support analytics or performance measurement. The specific technologies and providers we use may change as the Site and Services develop.
You may be able to manage cookies through your browser settings or through a cookie-choice tool if one is made available on the Site. Blocking cookies may affect the availability or operation of certain features.
We do not currently use Site-tracking information to share personal information for cross-context behavioral advertising. Before introducing materially different advertising or tracking practices, we will update this Notice and implement legally required notices or choices.
6. Artificial Intelligence Products
Certain features may use artificial intelligence technologies provided by third parties, which may include OpenAI or other AI service providers. Depending on the feature selected by a client, AI may be used to:
- draft or suggest a response to a review;
- summarize review or feedback content;
- assist with repurposing public reviews into social or marketing content;
- suggest message or campaign content; or
- support other clearly identified review-management functions.
Information submitted to an AI-enabled feature may include business information, client instructions, public review content, feedback, message content, and other information reasonably needed to produce the requested output. Clients must not submit unnecessary sensitive or regulated information to an AI feature.
AI-generated output may be incomplete, inaccurate, or inappropriate. Clients are responsible for reviewing output before using or publishing it, particularly where the content could affect another person or reveal confidential information.
Clients may disable certain AI features where account controls make that option available or may contact [email protected] for assistance concerning an AI-enabled feature.
Vello does not use identifiable Client Data or End Customer Data to train a publicly available or general-purpose AI model. AI providers may process information to supply the requested feature under their applicable agreements, privacy practices, and data-use commitments.
7. How Long Do We Keep Your Information?
We retain personal information for as long as reasonably necessary for the purposes described in this Notice, including to:
- provide and administer the Services;
- maintain an active account or subscription;
- complete a client’s requested campaigns or workflows;
- maintain security, fraud-prevention, consent, suppression, and opt-out records;
- comply with legal, tax, accounting, and regulatory obligations;
- resolve disputes and enforce agreements;
- establish, exercise, or defend legal claims; and
- complete ordinary backup and deletion cycles.
The appropriate retention period depends on factors such as the nature, amount, and sensitivity of the information; the purposes for which it is processed; whether those purposes can be achieved by other means; the risk of harm from unauthorized use or disclosure; client instructions; technical requirements; and applicable legal obligations.
After cancellation or termination, we may retain account information, Client Data, End Customer information, and related records for a reasonable period to facilitate service wind-down or reactivation, maintain suppression and consent records, resolve disputes, prevent fraud, comply with law, and complete backup cycles. Account access may be disabled during this period.
A client may request deletion by emailing [email protected]. Subject to identity and authority verification, legal obligations, active disputes, security needs, client instructions, and backup limitations, we will take reasonable steps to delete or de-identify covered information. Residual copies may remain in backups until overwritten in the ordinary course and will remain subject to applicable protections.
Clients should export information they wish to retain before canceling. We are not obligated to retain or provide information after the applicable retention period unless an agreement or law requires otherwise.
8. How Do We Keep Your Information Safe?
We use commercially reasonable administrative, technical, and organizational safeguards designed to protect personal information. Depending on the circumstances, these safeguards may include:
- account authentication and access controls;
- role-based or need-to-know access;
- secure infrastructure and service providers;
- measures designed to protect information in transmission and storage;
- logging, monitoring, backup, and recovery practices;
- vendor and integration controls; and
- procedures for investigating suspected security incidents.
However, no electronic transmission, storage system, or security measure is completely secure. We cannot guarantee that unauthorized persons will never defeat our safeguards or that information will always remain secure.
You are responsible for protecting your account credentials, maintaining appropriate permissions for authorized users, securing your own systems and Connected Accounts, and promptly notifying us of suspected unauthorized access or other security concerns.
9. Information From Minors
The Services are intended for business use by individuals who are at least 18 years old. They are not directed to children, and individuals under 18 may not create an account or use the Services.
We do not knowingly collect personal information directly from children. Clients must not submit children’s personal information unless Vello has expressly agreed in writing to support the relevant use and all required consents, notices, agreements, and safeguards are in place.
If you believe a child has provided personal information to us improperly, contact [email protected]. We will take reasonable steps to investigate and delete the information when appropriate.
10. Your Privacy Rights
Depending on your location and subject to applicable law and exceptions, you may have the right to:
- request access to personal information we maintain about you;
- request information about the categories, sources, purposes, and disclosures of your personal information;
- request correction of inaccurate personal information;
- request deletion of personal information;
- obtain a portable copy of certain personal information;
- withdraw consent where processing is based on consent;
- opt out of certain marketing communications;
- opt out of the sale, sharing, or targeted-advertising use of personal information if such processing occurs and applicable law provides the right;
- limit certain uses of sensitive personal information where applicable;
- appeal a decision concerning a privacy request where applicable; and
- exercise privacy rights without unlawful discrimination.
To submit a request, email [email protected] and describe the request and the state in which you reside. We may need to verify your identity and authority before completing a request. We will use information provided for verification only as reasonably necessary to verify and respond to the request.
Rights are not absolute. We may deny or limit a request when an exception applies, when we cannot reasonably verify identity or authority, when fulfilling the request would adversely affect another person’s rights, or when the information is processed on behalf of a client and the request should be handled by that client.
End Customer Requests
When we process information on behalf of a client, the client generally controls that information. An End Customer should ordinarily submit a privacy request directly to the business that collected the information or sent the review request.
If we receive an End Customer request directly, we may ask for information needed to identify the applicable client, refer the requester to that client, transmit the request to the client, or assist the client in responding as required by our agreement or applicable law. We will not provide one client’s data to another client or disclose information when we cannot reasonably verify the requester’s entitlement to it.
Marketing Choices
You may unsubscribe from Vello marketing emails by using the unsubscribe link in the message. You may opt out of Vello marketing texts by replying STOP. Opting out of marketing does not prevent necessary transactional, security, billing, support, or legal communications.
11. Do Not Track and Global Privacy Control Features
Some browsers offer a “Do Not Track” (“DNT”) signal. Because there is not a uniform industry standard for interpreting DNT signals, the Site and Services do not currently respond to DNT signals in a standardized way.
Some browsers or extensions may transmit an opt-out preference signal, such as the Global Privacy Control (“GPC”). Where applicable law requires us to recognize such a signal and the signal applies to processing we conduct, we will treat it as a request to opt out of the applicable sale or sharing activity for that browser or device.
Vello does not currently sell personal information or share personal information for cross-context behavioral advertising. If these practices change, we will update this Notice and implement applicable opt-out mechanisms.
Third parties may collect information about activity over time and across different websites or online services through technologies present on the Site or platform. Their collection and use are governed by their own privacy policies and any choices they provide.
12. United States Privacy Rights
Residents of certain U.S. states may have privacy rights under state law. Those laws often apply only when a business meets specified revenue, processing-volume, or other thresholds and may include exceptions for business-to-business information, information processed on behalf of another business, or information regulated by other laws.
Subject to applicable law, state residents may have rights to:
- confirm whether we process their personal information;
- access specified personal information;
- correct inaccuracies;
- request deletion;
- obtain a portable copy;
- obtain information about categories of personal information, sources, purposes, and recipients;
- opt out of a sale, certain sharing, targeted advertising, or qualifying profiling;
- limit certain uses or disclosures of sensitive personal information;
- appeal a refusal to act on a request; and
- receive equal service and pricing without unlawful discrimination for exercising a privacy right.

| Category | Examples | Categories of recipients |

California Disclosures
Vello does not sell personal information for money. Vello does not currently share personal information for cross-context behavioral advertising. We do not have actual knowledge that we sell or share the personal information of individuals under 16.
We do not offer a financial incentive or price or service difference in exchange for the retention, sale, or sharing of personal information.
If Vello becomes subject to a state privacy law that requires additional disclosures or request methods, Vello will provide them as required. An authorized agent may submit a request where applicable law permits, but we may require proof of authorization and may verify the request directly with the individual.
Submitting and Appealing a Request
Submit a state privacy request by emailing [email protected]. Include enough information for us to understand the request and identify the applicable record, account, client, or interaction. Do not send a Social Security number, complete payment-card number, account password, or other unnecessary sensitive information.
If applicable law gives you a right to appeal a decision, you may appeal by replying to our decision or emailing [email protected] with the subject line Privacy Request Appeal.
13. Data Usage and Sharing
Mobile Opt-In Data and SMS Consent
Mobile numbers, text-messaging originator opt-in data, and SMS consent provided through or in connection with the Services are used to send authorized communications, administer messaging preferences, maintain suppression records, provide support, prevent abuse, and comply with law and messaging-provider requirements.
Vello does not sell, rent, or share mobile opt-in data or SMS consent with third parties or affiliates for their own marketing or promotional purposes.
We may disclose mobile information to service providers and subcontractors that support the delivery, routing, administration, security, compliance, and support of messaging Services. Those providers may process the information only to perform those supporting services or as required by law; they may not use the information for their own independent marketing.
Message frequency may vary depending on the applicable campaign and client settings. Message and data rates may apply. A recipient may opt out of SMS messages by replying STOP. Where supported, replying HELP may provide assistance information. A recipient may also communicate an opt-out to the client that sent the message or contact Vello at [email protected].
Clients must honor opt-outs and other revocations received through any legally recognized channel and must promptly notify Vello of opt-outs received outside the Services.
Email Communications
We and our clients may use email addresses to send authorized review invitations, reminders, account communications, support responses, and other relevant messages. Marketing emails sent by Vello will include an unsubscribe method when required. Transactional or service-related messages may continue when necessary to administer an account or provide requested Services.
No Independent Marketing to End Customers
Vello does not use a client’s customer list to advertise or sell Vello’s own services directly to the client’s End Customers. We may communicate with an End Customer when necessary to deliver a client-authorized message, process an opt-out, respond to a support or privacy inquiry, prevent abuse, or comply with law.
No General-Purpose AI Training
Vello does not use identifiable Client Data or End Customer Data to train a publicly available or general-purpose artificial intelligence model. We may use aggregated or de-identified information for analytics and service improvement as described in this Notice.
14. Updates to This Notice
We may update this Privacy Notice periodically to reflect changes in the Services, technology, legal requirements, or our privacy practices.
The revised Notice will be identified by the “Last updated” date at the top. If a change is material, we may provide additional notice by email, through the Services, on the Site, or by another reasonable method when required by law.
We encourage you to review this Notice periodically. If we materially change how we access, use, store, or share information obtained through a Connected Account, we will provide any additional notice or obtain any additional authorization required by applicable law or provider policy before applying the new practice to that information.

16. Review, Update, or Delete Your Data
You may request to access, review, correct, update, or delete personal information by emailing [email protected].
Please include:
- your name and business, if applicable;
- the email address or account associated with the request;
- the state in which you reside;
